Project overview
Texflow is a SaaS platform designed specifically for accounting firms to improve operational efficiency and team productivity. The platform addresses the unique workflow challenges accounting firms face: managing multiple client engagements simultaneously, coordinating work across team members with different expertise levels, tracking project status and deadlines, and maintaining quality standards across client deliverables.
We partnered with Texflow to design their SaaS application from the ground up. The project required understanding accounting firm workflows, identifying inefficiency pain points, designing interfaces that accommodate complex multi-client operations, and creating a system that would be adopted by teams accustomed to established processes and tools.
The application serves accounting professionals from staff accountants to firm partners, requiring role-appropriate interfaces that support individual task execution, team collaboration, client management, and firm-wide operational oversight.

Challenges
Complex multi-client workflow management
Accounting firms simultaneously manage dozens or hundreds of clients, each with different service needs, deadlines, compliance requirements, and team assignments. The platform needed to organize this complexity in a way that prevents work from falling through cracks while keeping individual accountants focused on their current priorities.
Diverse user roles and permissions
Accounting firms have hierarchical structures with distinct roles: staff accountants executing work, senior accountants reviewing deliverables, managers overseeing multiple engagements, and partners managing client relationships and firm operations. The application needed appropriate interfaces and access levels for each role.
Resistance to workflow changes
Accounting professionals often use established processes developed over years of practice. Introducing new software requires demonstrating clear efficiency gains while minimizing disruption to proven workflows. The interface design needed to feel intuitive to accountants without extensive training.

Solution
Client-centric dashboard organization
The main dashboard organizes work by client, allowing accountants to see all active engagements, upcoming deadlines, pending tasks, and recent activity at a glance. This client-focused view matches how accounting professionals mentally organize their workload.
Task and workflow management system
Each client engagement breaks down into specific tasks with assignments, deadlines, status tracking, and dependencies. The workflow system routes tasks through appropriate team members and review stages automatically, ensuring work progresses without manual coordination.
Role-based interface customization
Different user roles see dashboards tailored to their responsibilities: staff accountants see their assigned tasks and deadlines, managers see team capacity and project status across multiple clients, partners see firm-wide metrics and client relationship information. This role-appropriate presentation prevents information overload.
